Responsibilities

The Senior HR Operations Specialist plays a key role in enabling UVVC’s success by driving and strengthening HR operations efforts while supporting a seamless and positive employee experience throughout the employee lifecycle. This role will manage complex HR processes, ensure compliance with regulations, and provide analytical and strategic support to the HR team and leadership. Additional responsibilities include overseeing core HR systems to ensure data accuracy, compliance, automation, and functionality.

 

The Senior HR Operations Specialist should have extensive experience in HR operations and technologies, strong problem-solving skills, and a commitment to continuous improvement. They will champion the adoption of the latest technologies within HR to transform HR programs and streamline HR processes. They also need to understand the need to deliver excellent experiences to all our stakeholders, along with having the skill set and curiosity to identify continuous improvement opportunities with our HR Operations processes.

 

Key Responsibilities:

  • Benefits Administration: Manage employee benefits programs, including enrollments, changes, and vendor communication. Provide excellent customer service to team members and HR colleagues.
  • Policy & Labor Law Compliance: Ensure compliance with company policies, employment laws, and regulations. Complete and manage reporting for annual requirements such as EEO-1, ACA, NDT, and 5500. Review labor law requirements for new states. Manage labor law posting requirements.
  • Employee Support: Triage and resolve employee lifecycle and stakeholder queries via our ticketing system. Provide timely responses to verifications of employment and similar requests.
  • Employee Data Management: Maintain accurate employee records in the HRIS. Conduct periodic audits to ensure compliance.
  • Payroll Support: Partner with the Payroll team to ensure timely and accurate payroll processing.
  • Onboarding and Offboarding: Ensure seamless onboarding for new hires and smooth transitions during employee exits. Oversee I-9 completion and work authorization verification.
  • HR Reporting: Generate and analyze HR metrics to support operational decision-making. Prepare reports for management and board discussions.
  • Process Documentation/Improvement: Document workflows and procedures. Drive continuous improvement in HR processes to address inefficiencies and reduce costs.
  • Leave Management/Workers Compensation/Unemployment Claims: Process leave requests, manage workers’ compensation claims, and respond to unemployment claims inquiries.
  • HR Technologies: Maintain and manage the HR technology stack. Conduct audits to ensure data integrity.
  • Project Support: Support HR initiatives and programs such as performance and compensation reviews. Deliver special projects as needed.
  • HR Communications: Draft and deliver companywide correspondence on HR benefits, wellness, and other initiatives.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience).
  • Minimum of five years’ experience in HR functions, including employee lifecycle, benefits administration, Workers Compensation, Leave of Absence, HRIS, and program management.
  • Strong knowledge of HR practices and federal and state labor laws.
  • Exceptional track record of consistently meeting deadlines and following through on commitments with minimal oversight.
  • Technical acumen with HR systems and Microsoft Office Suite; proficiency with UKG, CultureAmp, and Monday.com is a plus.
  • Demonstrated ability to apply analytical and problem-solving skills to improve HR operations.
  • Effective communication skills across all organizational levels.
  • Healthcare industry experience preferred; PHR/SHRM-CP preferred.
