Responsibilities

This role is responsible for managing the repairs and maintenance for a growing clinical portfolio of approximately 50+ locations nationwide. This will include continued growth of clinical locations on an annual basis with new markets being added to the portfolio.  This role will require to be on call for emergencies after hours.

The Facility Manager will report directly to the Facilities Manager. 

 

Relationship Management: 

  • Implement and maintain quality control measures to ensure vendors deliver services that meet the required standards and specifications.
  • Regularly monitor and document vendor activities, performance metrics, and outcomes to ensure transparency and accountability. Ensure vendors adhere to agreed-upon service levels, addressing any deviations promptly to maintain service quality.
  • Coordinate with operation and clinical teams to manage all repairs to limit down time for any clinic. 


Process Management: 

  • Timely and accurate work order management in a CMMS system
  • Management services for all reactive and proactive items. 
  • Manage large projects with minimal oversight
  • Collaborate well with cross functioning department
  • Enforce health and safety protocols that align with local regulations.
  • Perform regular safety audits and risk evaluations.
  • Maintain emergency response plans for various situations, such as fires or natural disasters. Lead critical emergency events with sound communication and incident command protocols.
  • Create processes and procedures that help scale and streamline facilities department
  • Coordinate all warranties and lease requirements to ensure all costs are allocated appropriately.
  • Communicate and coordinate with Landlords on work that falls under their scope according to the leases
  • Maintain the confidentiality and security of Protected Health Information (PHI) in accordance with UVVC policies, the Health Insurance Portability and Accountability Act (HIPAA), and other applicable laws and regulations. PHI is a top priority of our organization.
  • Monitor expenditures to ensure cost-effectiveness.
  • Identify opportunities for cost savings through efficient resource allocation.

People Management: 

  • For every direct report, build actionable and measurable career development plans; directly report in consistent conversations regarding progress.
  • Prepare and report annual reviews for every direct report and include recommendations for financial decisions.

Clinical Setup: 

 

  • Provide onsite support for operation teams during clinical openings when Facilities Manager is unable to travel.
  • Help create SOPs for opening and moving clinics

Qualifications

Education / Training:

  • Minimum of 5 years in facility management with increasing responsibilities
    managing a portfolio of at least 150 locations.
  • Minimum of 2 years managing people.
  • Bachelor’s degree in engineering, construction management, facilities
    management or equivalent study.
  • Minimum of 3 years utilizing facility management platforms for day-to-day
    ticket and vendor management.

Skills and Knowledge:

  • Possess basic skills for installing small furnishings, fixtures, equipment, and
    artwork as needed.
  • Strong leadership and relationship building skills
  • Strong interpersonal skills and problem-solving ability
  • Excellent verbal/written communication and presentation skills
  • Proven record of providing excellent internal customer service
  • Knowledge of engineering program management
  • Knowledge of Microsoft Suite (Excel, Word, PowerPoint) and ability to analyze
    data utilizing these and other programs
  • Knowledge of HVAC, electrical, and energy management systems
  • Ability to read and understand construction specifications, blueprints, and
    single line diagrams
  • Proficient in understanding management agreements and contract language
  • Strong understanding of lease language
  • Negotiation skills
  • Dependable; able to meet reliable attendance and punctuality standards for
    the role
  • Able to embrace and adapt to new system technologies to support the
    business
